Assets and Inventory Manager
Description

The Manager, Assets and Inventory is responsible for the maintenance and management of the Centre’s current asset register and the proper oversight of all storerooms. The incumbent manages and oversees effective preparation, analysis, and insight for inventory balances. As an integral member of the team the individual ensures accurate and timely close processes are in place and implements measures to identify all material transactions are appropriately recorded.

Responsibilities

Inventory Responsibilities

  • Develops and implements an updated computerized/manual Inventory Management Control System for the Centre’s furniture, equipment and supplies.
  • Updates and maintains the Centre’s Asset Register as necessary, ensuring that all furniture purchased and/or written off, are accounted.
  • Establishes Standard Operating Procedures (SOPs) for the Accepting and Accounting for Gifts or Donations.
  • Establishes SOPs to ensure compliance with the GOJ Comprehensive Asset Management Policy for the Public Sector.
  • Ensures that Fixed Asset Register is maintained and updated with cost of fixed asset received, dated, name of supplier or donor and receipt number of invoice where applicable.
  • Maintain Office Equipment Record for inspection by Auditors.
  • Maintain and update the master inventory record.
  • Identifies assets that require repairs, disposal and makes recommendations to the Manager Asset & Inventory accordingly.
  • Conducts inspections of assets on and off-site that are owned/ managed/ borrowed by the Centre.
  • Conducts monthly stock-taking of all storerooms (Food & Beverage, Maintenance, Stationery and Sales/Marketing etc.)
  • Submits monthly fixed asset report to Director of activities relating to fixed asset during the previous month.
  • Maintains Fixed Asset Donation Record.
  • Ensures that all furniture and equipment are marked with specific numbers- markings to be done on all new assets before assignment and location records updated simultaneously.
  • Receive and maintain damage report Forms.
  • Prepares and updates location charts for each office.
  • Provides administrative support in the coordination of conferences and meetings.
  • Manages the disposal of assets in accordance with Government of Jamaica guidelines.
Qualifications
  • Bachelor’s Degree in Management, Public Administration or a related discipline from a recognized tertiary institution.
  • Training in Inventory/Asset Management would be an asset.
  • Minimum of four (4) years’ experience in a similar position.

 

Required Competencies

  • Sound Knowledge of GOJ guidelines pertaining to Asset Management and Disposal of Assets.
  • Working knowledge of the FAA Act.
  • Working knowledge of Accounting requirements.
  • Working knowledge of the Inventory Management System.
Performance Indicators
  • Furniture and equipment marked in accordance with standard set by the Centre
  • Location charts prepared and updated according to established guidelines.
  • Assets disposed in accordance with stipulated guidelines.
  • Registers and databases updated in a timely manner.
  • Meetings successfully facilitated.
Special Conditions Associate with the Job

• Incumbent may be required to work on weekends.
